Accounting Software For A Church

Accounting software helps churches organize their budgets and oversee them with ease. In churches, the budget may have been designed in the best interests of the church and its ministries, but its implementation doesn't work as well as it should. By having an accounting software system in place, the board of directors, pastor and church administrator are able to see at a glance where the money is going and how much each ministry is costing the church. With good accounting practices in place that can be monitored, revisions in the budget are much easier to propose and gain approval of because the figures illustrate the ability to pursue new plans-or lack of-clearly.

By establishing an accurate budget, each ministry head knows exactly what the budget is for the ministry and has prior approval for spending the funds necessary to implement the mission. Should unexpected events or necessities arise, it is easier for ministry heads to gain approval from the board of directors and pastor without delay. Everyone is in the loop and knows what is feasible for the church and what isn't. Hopefully, no one will authorize expenses without forethought as one minister did on a church construction project. When the buildings were finished, the pastor had indebted the 85 member congregation to well over $1,000,000 in additional construction costs and foreclosure seemed inevitable.

Accounting software is designed to track expenses and throw up flags to warn church administrators and the board of directors when budgets are not being adhered to. By analyzing the balance sheets carefully, situations such as the previous one can be avoided before disaster occurs.

Also, with good accounting software, churches will be able to project the following year's growth patterns (or loss of membership) and make financial projections based on these factors. Fallacies can be seen in the budget and corrected in future planning sessions. Accounting software will also help planners determine how much the church needs in donations as well as which ministry budgets can be reduced and which ones need to be increased.

Several points need to be considered when purchasing accounting software. First of all, what is the accounting experience of the staff that will be using the software? Will there be a number of different users of the software (or only one) and what will their location be? Are these people computer savvy and do they have access to the Internet? What type of accounting information is desired by the board of directors and the administrator? What is the size of the church? How complex are its finances? What does the accounting software and its implementation cost? What kind of technical support services are offered and how much does it cost? How much will it cost to maintain the accounting software package (yearly renewal fees for up-dates)?
